About the Role: We are looking for a dynamic, experienced Receptionist / Administrator (f/m/d) to join our team in Dundee. As a key member of our plant support team, you will be responsible for the smooth running of our reception function including a broad range of administrative tasks.
- Deliver a friendly, professional and efficient front of house experience for all Associates
- Manage security access for all visitors and Associates
- Work collaboratively as an integral member of the plant administration team to provide business support (e.g. meeting and catering requests, visitor information, facilities support etc.)
- Own the reception inbox and switchboard, send timely replies and ensure correct onward distribution of enquiries
- Procurement, including stationery ordering and stock management
- Ensure meeting rooms are maintained and stocked with all necessary stationery and materials
- Assist with the on-boarding for new associates and temporary workers, and support hybrid working Associates
- Update all relevant documentation, databases and distribution lists
- Distribute newsletters
- Undertake a wide range of ad hoc administrative tasks to support the Plant
Required Qualifications:
- Ideally 5+ years’ experience in a people facing administrative role
- Excellent interpersonal and customer service skills, able to interact effectively with a broad range of people internally and externally
- Excellent organisational and administrative skills
- Strong verbal and written communication skills
- Excellent attendance and punctuality
- Demonstrated ability to recognise and maintain confidential information
- Ability to work on own initiative
- Ability to prioritise tasks and requests in a fast-paced, changing environment
- Proficiency in Microsoft Office (Outlook, Word, PowerPoint, and Excel) and a willingness to learn new applications and technologies as required
- Proactive and flexible approach to commitments – will do what needs to be done
